Research shows that organizations with a structured onboarding process improve new-hire retention by 82% and productivity by over 70%. Yet many small businesses rely on an informal "figure it out" approach that leaves new employees confused, unproductive, and more likely to quit within the first 90 days.
Before the new employee's first day, complete these tasks: send a welcome email with first-day logistics, prepare their workspace and equipment, set up email and software accounts, order business cards if applicable, prepare onboarding paperwork (W-4, I-9, direct deposit, benefits enrollment), assign an onboarding buddy or mentor, and notify the team about the new hire.
The first day sets the tone. Focus on making the new hire feel welcome and oriented rather than overwhelming them with information. Key activities include a team introduction tour, workspace setup walkthrough, IT systems login and training, company overview and culture introduction, lunch with the team or manager, and review of the first-week schedule.
During the first week, gradually introduce job-specific training while continuing to build relationships. Cover core tools and systems training, key process walkthroughs, initial project assignment, one-on-one with direct manager, HR benefits overview, and safety training if applicable.
Structure the first three months with clear milestones. At 30 days, the employee should understand their role, know key contacts, and complete initial training. At 60 days, they should be independently handling core responsibilities. At 90 days, they should be fully productive and integrated into the team.
